GCG Coordinator Job Descriptions

GCG Leadership roles include, but are not limited to the following:

  1. Membership Coordinator(s)

  5. Produce Harvesting & Donation Coordinator(s)

  7. Volunteer, Events & Media Coordinator(s)

1. Membership Coordinator- Krissy Fair & Cheryl Grasmoen

Tasks include, but are not limited to the following: 

  • Garden administration
    • Contact returning gardeners 
    • Contact newly interested gardeners
    • Assign garden plots
    • Collect yearly commitment forms and plot fees 
    • Maintain yearly plot map with updated gardeners and layouts as needed
  • Meeting coordination
    • Organize annual all gardener meeting and provide agenda
  • Gardener communication
    • Provide gardener group email reminders as needed
    • Manage google group members

2. Giving Garden Coordinator/Manager – does not have to be a board member

  • Orders seeds for the next season of the giving garden
  • Buying plants
  • Point of contact for volunteers with questions
  • Coordination of:
    • Planting
    • Ensuring irrigation system turn on date
    • Tying up the plants, trellising
    • General oversight of plant growth

3. Communications Coordinator – Greg Kaster

The Communications Coordinator will take lead in outside garden communications.

  • Liaison(s) for outside personnel and organizations
    • Between ECMN and Board
    • Between ECMN, Gethsemane property manager (Jay Nord) and Board 
    • Between property owner; Brian Short, Doug Swanson and Board
    • Between Hennepin County Master Gardeners (grants), MN Green and MN Horticultural Society and Board
    • Between area Council members and neighborhood organizations

4. Grounds & Water Coordinator – Myron Thornberry

The Grounds & Water Coordinator will help to maintain an appealing, safe, secure and accessible community garden area. 

Tasks include, but are not limited to the following: 

  • Community area
    • Maintaining mulch to prevent mud and weed growth
    • Weeding as necessary
    • “Mowing the Lawn” as needed
    • Cutting back perennials in the fall
  • Trash Coordination
    • Picking up trash around garden perimeter and community area
    • Remove community area trash bag when full and replace with new bag
    • Bring city trash can out to the curb each Monday night during garden season
    • Bring yard waste bag(s) to curb each Monday night during garden season
    • Call for yard waste pick up Monday night (before 4pm) for Tuesday pick-up
    • Return trash can to locked watergate Tuesdays after trash pick-up
  • Compost
    • Clean out in the Spring by removing items that will not decompose and using any compost that is readily available
    • Maintain compost bins throughout growing season
  • Monitor
    • On going safety and security of the community grounds
    • Equipment and structures for damages/updates/repairs needed
    • Rodent issues
    • Relay reminders/consequences for not maintaining all GCG Handbook requirements
  • Water set-up and maintenance
    • Ensure water is turned on in the Spring and off in Fall
    • Set-up and removal of hoses in Spring and Fall
    • Set-up and removal of drip line irrigation
    • Hose/sprayer maintenance
  • Provide assistance for shed maintenance as needed

5. Equipment & Infrastructure Coordinator- Maggie Brickson

The Equipment & Infrastructure Coordinator will help to maintain current structural features, provide ideas and fixes for any new or existing projects and help secure special equipment and supplies as needed. 

Tasks include, but are not limited to the following: 

  • Maintenance
    • Garden shed
    • Fencing
    • Compost bins
    • Share Shelf
    • Pergola
    • Picnic tables
    • Flower boxes
    • Cucumber Trellises 
    • Water supply/meter
    • Lighting
    • Security
  • Provide ideas for updated safety and security on infrastructure
  • Build new structures as needed
  • Help locate special equipment or supplies as needed for various projects
  • Monitor security cameras as needed (there are no usable and accessible cameras at this time)

6. Produce Harvesting & Donation Coordinator-

The Produce Harvesting & Donation Coordinator will be the main liaison between the GCG, and area food shelves. In addition, they will coordinate the weekly community garden produce harvesting and delivery of all produce to be donated (community garden and personal plots) and maintain the donation poundage spreadsheet.

Tasks include, but are not limited to the following: 

  • Maintain communication between GCG and area food shelves
  • Produce donation
    • Organize weekly produce harvest schedule
    • Schedule and maintain delivery of produce to area food shelves
    • Communicate to gardeners the most requested types of produce
  • Ensuring  produce donations are listed on the produce spreadsheet
  • Calculate the donation poundage totals at the end of the growing season
  • Provide additional input on produce to be grown in the Giving Garden

7. Research & Legal Coordinator- Cheryl Grasmoen

 The Research & Legal Coordinator provides research, documentation and recommendations of various Board ideas, projects and community involvement. In addition they will provide legal research, documentation and necessary forms that could be needed or affect the GCG. They will also prepare any tax filings, insurance filings for the garden’s 501c(3) status.

8. Volunteer, Events & Media Coordinator- Krissy Fair

The Volunteer, Events & Media Coordinator is responsible for tracking gardener volunteer hours, coordinating group garden work days or events and maintaining the GCG website and social media accounts.

Tasks include, but are not limited to the following: 

  • Volunteer
    • Track individual gardener volunteer hours
    • Assign and track week long giving garden volunteer work on Google Calendar
    • Maintain garden task/project list
    • Send reminder emails regarding logging volunteer hours
    • Send reminder emails regarding outstanding volunteer hours needed
    • Update task list that is in the shed
  • Events
    • Organize group work days as needed (mulch delivery, compost delivery, community garden planting, etc.)
    • Organize garden “office hours” ( work on individual plots, but have the opportunity to  see more of your fellow gardeners)
    • Organize group social events/get togethers as requested/permitted
  • Media
    • Make updates to GCG website as needed
    • Maintain GCG domain registration and domain/email setup at NameCheap
    • Create and maintain GCG Social Media accounts
    • Manage Google group members 
    • Manage GCG group text chat
